How we handle client data

We use outside AI and cloud services for client projects and remove identifying or sensitive details where possible. We review our partners' security and privacy policies quarterly and can explain their processing and retention practices in a private client conversation.

Why client information goes to outside services

AI services help us analyze documents, develop strategy, and build software. Cloud services support applications and keep backup copies. Our client agreements cover outside AI processing.

Our principle is to share private information when there is a reason connected to the project. Removing sensitive details where possible reduces what leaves our systems, but some information remains necessary to the task.

What the AI providers do with it

We use OpenAI and Anthropic enterprise accounts and their services connected through software. Their commercial policies exclude client content from model training by default, with exceptions for information deliberately shared for improvement or feedback. OpenAI's policy, Anthropic's policy

Training means using information to improve future models. Processing means using information to answer the current request. Storage means keeping a copy. These are separate activities: a provider can process and store information without using it for training.

There is no single 30-day storage rule. Some records normally expire within that period; saved conversations, files, and other records can follow different rules. Legal and security exceptions also apply. OpenAI's storage rules, Anthropic's storage rules

We are reviewing provider retention settings to shorten storage where available. We have asked Anthropic for zero data retention for our API use and Enterprise subscription; approval and activation are pending. Existing settings remain in effect until changes are confirmed.

How backups fit in

We use hosting partners to support applications, store information, and maintain backups. We keep the details of our backup arrangements private; clients can ask which partners we use, why we use them, and how they handle information.

How to check the details

The links above lead to the providers' own explanations. They describe general policies; the account, feature, and agreement determine which rules apply to a particular project.

Clients can discuss the services used for their project, the information those services receive, and the relevant storage rules with us. We keep detailed security arrangements out of the public website and discuss them privately with business counterparts.
